MedArchive

Managing patient records (medical records and charts) is a time consuming task. Most of the healthcare institutions handle patient records either as paper documents or microfiche. Each of these methods entails increased cost, inefficient manual handling, and delays in retrieval of the historical information coupled with time consuming information distribution and storage.

MedARCHIVE® is the state-of-the-art electronic patient records management system solution from Ascend Healthcare Systems. It is designed by a Medical Records Director to effectively meet the needs of all medical records departments.

MedARCHIVE® is a HIPAA compliant solution. It offers capabilities such as digital signature authentication for access in addition to user code and password. Each authenticated user has assigned privileges for processing activities which are permitted. Support for extensive user access and privilege management workflow is incorporated into the product.

Why acquire a MedARCHIVE® solution?

  • HIPAA compliant secured storage, management and access of patient records
  • Authentic document archive in true paper image form
  • Secured electronic distribution within and outside the facility
  • Compact, electronic, on-line storage for millions of records
  • Highly cost effective versus microfiche and paper based storage
  • Network integration with health information systems

Key features of MedARCHIVE® include:

  • STORAGE System stores transcribed medical records, handwritten notes, patient charts and all other documents related to a patient’s record. Each document is stored as an image in its true form. Hence, the authenticity of each page of the document is fully retained. This capability offers retrieval, printing and faxing of the true copy of patient records akin to making a Xerox copy of the paper version.

  • RETRIEVAL Retrieval of stored records is very easy. Using any patient demographic as a search key, the documents can be retrieved. Some of the typical search keys include patient name, service date, provider’s name, medical record number, report type, admit date, transcription date, dictation date and others. The system offers customization of search keys based on your requirements. The retrieval of documents is instantaneous.

  • OUTPUT & DISTRIBUTION The system provides very effective methods of output and distribution of the patient records. The reports from a MedARCHIVE® database can be queried and retrieved by the authorized users. Once the reports are retrieved, the following options are available for the report output and distribution.

VIEWING The system offers viewing of the patient records in the Medical Records department locally or via a networked PC on the hospital floors to authorized users only.

PRINTING The system offers printing of reports on the local or networked printer by an authorized user.

FAX The FAX is a widely used option particularly when providers who are off-site request reports. An authorized user automatically sends requested reports to a designated fax. This eliminates the current cumbersome method of Xerox copies and courier delivery to off-site locations.

HIS UPLOAD The system offers custom interfaces for uploading stored reports into an HIS system such as Meditech, HBOC STAR, SoftMed, Arrendale and others.

  • DOCUMENT LOADING The system accepts documents from various sources. It accepts documents automatically from a transcription system. It offers downloading of documents and clinical information from HIS system. The system also offers high-speed, automatic scanning of paper based documents. Unlike any other system, MedARCHIVE® offers automatic indexing of documents. This feature saves significant headaches in scanning and input.

  • COST MedARCHIVE® is a highly cost effective system. The average monthly cost of a fully operational system implementation is less than monthly wages of a single medical records clerk.
